Word 2010 Features to Help Improve Your Business

Office 2010 is out and while new versions have typically been just a new coat of paint with not much different under the hood, there are some really fantastic new features in 2010. Today, we'll be looking at Five features of Word 2010 that will help improve your business.

Word is the workhorse of the Office suite, so almost anything new that helps you save time and frustration is a welcome feature.

Better Control Over Documents

Word 2010 provides a much better interface to help you control how documents are used. On the File tab, (replacing the old round button from Office 2007), you now have a ton options that are easy to access. Possibly the most useful for document management is the "Info" section.

The first option here is "Permissions". This allows you to easily set permissions and control who can open, copy, or change the document.

Next we have "Prepare for Sharing". You can now extremely easily check for issues that might make your document difficult to share with co-workers and clients. It also gives you the ability here to inspect the document and eliminate any notes, comments, or revisions that you might have forgotten about while creating the document.

If you have ever received a Word .doc file and seen the notes left behind in the RFP, you'll know what I am talking about here. Now you can make sure you don't make the same mistakes!

Finally, we have "Versions". This helps so that you will be able to track revisions easier and if a coworker sends you a document and you don't like the massive changes that were made you can simply step backwards very easily.

Graphic Design Tools Help Make Better Documents

One of Microsoft's goals with 2010 was to make it easier for businesses to create compelling and attractive looking documents. While there are a number of tweaks over Office 2007, the one that stands out is the ability to take screenshots inside of Word 2010.

Under "Insert" you will find the screenshot button that can take an image from any window you currently have open and embed it in your document. This makes Word 2010 an even better tool for preparing training manuals as well as other documents where you want to convey how something looks on your computer.

After the image is captured and inserted into the document you can add "Artistic Effects" or "Remove Background". Both of these are new features in Word 2010 that will make your documents better looking and more effective at presenting your ideas to clients, employees, and investors.

Better Sharepoint and Live Workspaces Integration

Business IT is no longer just about the desktop and Microsoft knows this. Office 2010 is designed to work better and more closely with a variety of collaboration tools. This includes Sharepoint and Windows Live Workspaces.Even on your own computer, Word 2010 recognizes that documents aren't always in the same spot anymore.

You can now save and retrieve documents right from your Sharepoint server or Windows Live Workspace. This makes it much easier to keep everything in one spot so employees, partners, and even clients can have better access to documents - wherever they happen to be working at the time.
